Realtor's Executive Assistant
The Realtor’s Executive Assistant is a Professional who relishes the opportunity to help build, implement, and manage multiple systems to support the ongoing operations of a successful real estate practice. He/she is deeply committed to completing tasks with a high degree of quality. This person is a self-starter and has immense focus and attention to detail. The Executive Assistant is deeply committed to supporting the lead agent in achieving greater and greater levels of success, and to growing his/her own skills as the practice expands.

Primary Responsibilities:
  • Manage all systems for managing sellers, buyers, lead generation, database management, regular client communication, and back office support
  • Oversee all buyer and seller contracts through closing including ensuring compliance with KW paperwork requirements
  • Create and maintain an operations manual that documents all systems and standards
  • Keep lead agent informed regarding any problems or issues that need to be handled
  • Responsible for all financial systems including initial setup and maintenance of the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports (note this may be outsourced depending on candidate)
  • Responsible for hiring, training, consulting, and holding accountable all additional future administrative team members
Regular Work Activities:
  • Systematic client communication and lead generation including 33 Touch campaigns, and just listed/just sold campaigns
    • Maintain contact information and mailing lists for various client groups in on-line database
    • Maintain additional lists in various systems for client newsletters, postcard mailings, and mass e-mails.
    • Setup and maintenance of purchase anniversary notes, holiday cards/gifts, etc.
    • Uploading of content & sending of postcards (content provided by lead agent)
  • Managing buyer and seller transactions
    • Creation/uploading contract documents into dotloop (on-line transaction system)
    • Schedule photo shoots for new listings
    • Entry of listings into multiple listing service
    • Ensuring completeness of listing syndication to 3rd party sites
    • Maintaining team calendar to track buyer appointments and showings.
    • Scheduling showings/handling showing requests
    • Scheduling home inspections
    • Scheduling and attending smoke inspections
    • Generation of closing invoices
    • Creation of greensheets (KW transaction accounting)
    • Interfacing with attorneys for Purchase & Sale
    • Post closing quality survey
  • Website maintenance
  • Refreshing web and social media content (generally created by lead agent)
  • Uploading blog content (generally created by lead agent)
  • Bookkeeping (A/R and A/P - may be outsourced)
  • Customer/vendor relations
  • Leading future admin team members
Requirements:
  • BA/BS degree preferred
  • Strong written and verbal communication skills
  • Exceptional organizational and project management skills
  • Strong computer skills (preferably Apple products)
  • Great ability to focus
  • Service-based attitude
  • Proven ability to succeed
  • Willingness to spur lead agent to achieve more and increase job responsibilities
